Case Study: “Chalk It Up” Event for the Jordan Schnitzer Museum of Art

Located on the University of Oregon campus, AHPR works with the Jordan Schnitzer Museum of Art’s public relations and marketing staff to boost student involvement in the arts and increase the number of students who take advantage of the museum’s free student membership program. Student members receive a personalized membership card, e-vites to major exhibition openings, notices about upcoming programs and events and a 10% discount at the museum gift shop and Marche Café, a coffee shop inside the museum. In order to make students more aware of this valuable on-campus resource, the 2010-2011 Allen Hall Public Relations JSMA team held an event called “Chalk It Up” on May 19, 2011.

Research

The AHPR JSMA team researched the most effective past campus events and found that the best way to engage students is to offer an engaging, yet not time-consuming, activity. The team decided to model the event after AHPR’s successful Recycle Your Mat event, held in the spring of 2010. Recycle Your Mat, a Eugene-based organization that facilitates yoga mat recycling, sponsored the event that allowed UO students to practice yoga on the campus quad for an afternoon. Holding the event on the quad made for a central location on campus and a convenient location for museum staff, as its main entrance spills out onto the quad.

Planning

The team worked together to create a calendar of events and to-do’s leading up to the actual event. This included creating flyers and other promotional materials, distributing these materials, and creating social media initiatives. The team also worked with the University of Oregon special events office to select a time, date, and location and clear all of these factors with campus security.

Execution 

The team promoted the event with flyers, a Facebook event page and Twitter posts, as well as with pitching to local print and broadcast media. The event was held in front of the museum, and students were encouraged to use the chalk provided to express themselves. The team was blessed with a rare sunny day in Eugene, and hundreds of students turned up to draw on the campus quad sidewalks, have some cold refreshments and popcorn, and enjoy the sunshine.

Results

This event was covered by KVAL, Eugene’s CBS affiliate and the University of Oregon’s main Facebook page. As a result of this event, the JSMA was able to meet its fiscal year goal of signing up over 1,000 students to its membership program.
